About the Position
We are a growing department looking for a reliable and detail-oriented Administrative Assistant to support our service operations. This role is ideal for someone who enjoys staying organized, communicating with customers and technicians, and keeping multiple tasks moving efficiently in a fast-paced office environment.

Key Responsibilities
- Schedule service jobs and create work orders
- Prepare and send material sheets to the shop and follow up on fabrication lists
- Coordinate deliveries and track job materials
- Manage annual inspection renewals and maintain job files
- Request and track Certificates of Insurance (COIs) for customers and vendors
- Process billing and assist with collections when needed
- Maintain inspection logs, update active jobs, and close completed projects
- Answer phones and emails, providing status updates and customer support
- Assist with office projects to improve organization and workflow
- Minimum of 2 years of administrative or office experience
- Strong working knowledge of Microsoft Excel and Outlook
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail
- Ability to multitask and meet deadlines in a fast-paced environment
- Positive attitude with a team-oriented mindset
- Experience in construction, fire sprinkler, or fire protection services
- Familiarity with billing, invoicing, and service contracts
- Experience managing COIs or inspection documentation
