Job Title: Administrative Assistant – Executive Office

Location: New York, NY (Midtown)

Salary: $55,000 – $58,000 per year

Hours: Monday – Friday, 9:00 a.m. – 6:00 p.m.

About the Role:
We are seeking an enthusiastic and organized Administrative Assistant to support executive leadership in a dynamic arts and cultural organization. This role provides high-level administrative and organizational support to senior executives and the Board of Directors, assisting with scheduling, communications, meeting preparation, special projects, and other ad hoc responsibilities. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys working on a variety of projects across multiple departments.

Key Responsibilities:

  • Manage calendars, scheduling, and coordination for executives and Board members.

  • Assist with event planning, meeting logistics, and technology setup for hybrid meetings.

  • Prepare materials for meetings, presentations, project updates, and reports.

  • Serve as a key point of contact for administrative and technical matters with internal teams and external stakeholders.

  • Handle incoming mail, emails, and phone calls, prioritizing items for executive attention.

  • Support special projects and research initiatives as assigned.

  • Provide additional administrative assistance to other members of the executive team as needed.

Requirements:

  • Bachelor’s degree preferred.

  • Minimum three years of experience supporting executive-level leaders, preferably in arts, educational, or programming environments.

  • Proficiency in Microsoft Office Suite.

  • Exceptional attention to detail and strong organizational skills.

  • Ability to manage multiple projects and navigate competing priorities.

  • Strong interpersonal skills and professionalism when interacting with high-profile stakeholders.

  • Collaborative team player with a proactive approach.
